Copilot integrates directly with the Microsoft apps you already use every day, like Word, Excel, Outlook and Teams. It helps reduce repetitive tasks, help creativity, and save time across your business.

We’ve been using Copilot for a while now and have found five standout features that are already making a big difference to our productivity.

 

1. AI-powered content creation in Word and Outlook

Need to write a report, proposal or email but not sure where to start?

Copilot can help you draft it in seconds. It can also summarise long documents, refine your tone, or rephrase what you’ve already written.

This is ideal for busy teams juggling multiple documents, giving you a big productivity boost without sacrificing quality.

How to use it:

In Word:

  1. Open Word and begin typing your document.
  2. Click on the Home tab and look for the Copilot button (this may appear as an AI icon).
  3. Ask Copilot to help create, summarise or expand your content. It will suggest text, rephrase sentences and refine your structure.

 

2. Enhanced data insights in Excel

Copilot makes Excel easier for everyone, even if you’re not a spreadsheet expert.

It can analyse data, create charts, and generate formulas. No need to spend hours figuring out VLOOKUPs.

How to use it:

In Excel:

  1. Open your Excel file with data.
  2. Go to the Formulas tab and click the Copilot button or “Data Insights” option.
  3. Ask Copilot to build charts, identify trends or suggest insights based on your data.

 

3. Smarter scheduling and email summaries in Outlook

Copilot doesn’t just write emails; it can also help you stay organised.

It summarises long email threads and suggests the best meeting times based on everyone’s calendar.

How to use it:

In Outlook:

  1. Open the Calendar tab to schedule a meeting.
  2. Click New Meeting and select Copilot or look for a “Smart Scheduling” option.
  3. Copilot will suggest the optimal meeting time based on availability.

To summarise emails:

  1. Open a long email thread.
  2. Copilot will generate a quick summary of the key points, so you don’t miss anything important.

 

4. Better collaboration in Microsoft Teams

Copilot in Teams keeps meetings productive by summarising discussions, decisions, and action points automatically. It’s like having a digital assistant taking notes for you.

How to use it:

In Teams:

  1. Join or schedule a meeting.
  2. After the meeting, Copilot will generate a summary of key points and tasks.
  3. Head to the Meeting Chat tab to find the summary and next steps.
  4. You can also ask Copilot for additional clarification or task suggestions.

 

5. Personalised support tailored to your workflow

One of Copilot’s most useful features is that it learns how you work. Whether you’re in sales, HR, or finance, it adapts to your style and tasks, providing the right support when you need it.

How to use it:

Across all Microsoft 365 apps:

  1. Use Copilot regularly in the apps you rely on (Word, Excel, Outlook, Teams).
  2. Over time, it will learn your preferences and provide smarter, more relevant suggestions.
  3. Ask Copilot for help with your specific tasks—whether that’s summarising reports, generating marketing content or analysing performance data.
